THE CHALLENGE

Design a portal experience for a suite of healthcare applications

Advata was created through the merger of six different healthcare companies, all with their own unique product offerings.

My role was to define the portal framework to support the next generation of these products, within our newly branded Advata RCM suite.

GOALS

  • The portal would allow a user to seamlessly navigate between their subscribed applications

  • Intuitively onboard new team members and manage their organization’s settings

WORKSHOP

Getting aligned with the team

With all the new teams coming together as one, my first step in this project was to lead a kick-off workshop. This provided everyone with the opportunity to discuss common terms and reach a shared understanding of what we wanted to build and deliver to our customers.

  • 4x groups of 12x participants

  • 3x 15 min breakout discussions

  • 1x 60 min final review session

KEY TAKEAWAYS

  • Portal: A customer-facing home for a standard framework and infrastructure for all Advata applications

  • Platform: The external facing view into underlying platform components and application experiences

  • Application: A sellable artifact that solves one or more problems. May contain models and may serve one or more users

  • V1 Users: Global Admin User, System Admin User, Application Users

PERSONAS

Referencing existing proto-personas and earlier user interviews, I was able to gain a better understanding of their needs and pain points.

These learnings also formed the basis of our updated Advata personas.

KEY FINDINGS

  • Healthcare backgrounds

  • Wide range of tech savviness

  • Uses multiple applications to accomplish their workflows

INFORMATION ARCHITECTURE

Defining the information architecture was critical in laying the foundation for the portal and helping the different product owners and engineering teams understand how everything was going to fit together.

KEY TAKEAWAYS

  • Global Admin
Settings and portal management for internal Advata users

  • System Admin
Settings and team management for customer admins

  • Applications
The products users have access to that can be managed independently or through global/system admin

DISCOVERY

What are other tools that allow the user to move between applications, manage their settings and teams?

KEY TAKEAWAYS

Other applications commonly use an app switcher to move between applications
The Advata portal will need an intuitive way for users to quickly switch between applications

System and application settings are clearly delineated
Permission-based settings mean we need clear areas for where and what settings can be accessed

Managing teams and users following well known mental models and design patterns
Leverage existing mental models and patterns to deliver familiar experiences

WIREFRAMES

Taking into consideration requirements from my product owner and explorations I began work on wireframes for the portal outlining:

PROTOTYPE & TESTING

Interactive prototypes were developed to conduct usability testing with internal users. The goal was to validate key patterns and provide engineering with guidance on user management and permission-based onboarding.

KEY FINDINGS

  • Navigating between apps was intuitive

  • Settings location matched expectations

  • Onboarding flows were clear

HIFI DESIGNS

When creating the final designs I referred to our Material Design toolkit to make sure the components I was using could be easily pulled from the MUI React library. These components and mental models served as a reference for the reusable patterns and flows that could be leveraged for the rest of the portal and application experiences.

FINAL PROTOTYPES & HANDOFF

High fidelity prototypes were created for final reviews with product owner(s) and handoff to engineering.

KEY FLOWS

  • Adding and Editing users at the Organization and Tenant levels

  • Onboarding and Request Access flows for each user type

OUTCOMES

v1.0 of the Advata Portal launched in January 2023 with Providence as one of our first customers.

An updated v1.1 launched in May 2023 and included improvements to our initial offering of applications.
